Côr Cardi-Gân Constitution

1. Name

Côr Cardi-Gân


2. Objectives

• Help members to study, practice and perform four-part choral works.
• Offer activities that nurture various talents within the choir.
• Offer activities that promote Welshness amongst the youth of Ceredigion.
• Support charitable causes and undertakings.


3. Committee and officials

The offices are as follows:

• Chairperson
• Deputy Chairperson
• Secretary
• Treasurer
• Press Secretary
• Librarian
• Conductor
• Accompanist

The Deputy Conductor and the Deputy Accompanists may be invited to meetings if and when the need arises.

The offices of Conductor and Accompanist are open to choir members and are to be elected by the main body of the choir in the Annual General Meeting (hereafter referred to as the AGM).

Each office runs for a period of one year and each official may be re-elected.


4. The Choir’s Calendar

The Choir’s calendar will begin in September.


5. Membership

5.1 Payment of fees is a requisite of membership. The sum is to be decided at the AGM.

5.2 The criteria for joining the Choir are as follows:

Each member must:

• Be eighteen years old or over.
• Enjoy singing.
• Enjoy socialising.

6. Fees

A fee, to be decided by the main body of the Choir, will be charged for performances. Fees may be waived in special circumstances approved by discussion.


7. Rehearsals

• The Choir will rehearse once a week at 8.00 pm on an evening appointed in the AGM.
• Additional rehearsals will be arranged as required, by agreement of the main body of the Choir.
• Members must attend rehearsals.

8. The Committee’s Authority

The Committee will have authority for the following:

• To meet as required to discuss any matters that arise from the administration of the Choir or that affect the Choir in any way;
• To appoint sub-committees to act under the supervision of the Committee;
• To co-opt other members of the Choir as members of the Committee for specific purposes as the need arises;
• To discipline any choir member deemed to have acted in a manner not acceptable to the main body of the choir;
• To instruct the Secretary to call the AGM and Extraordinary General Meetings;
• To find and appoint suitable candidates for the offices of Conductor, Accompanist and their deputies if and when required.
• 5 officials are required to form a quorum.


9. The Annual General Meeting

• Each member of the Choir is permitted to attend the meeting.
• The AGM must be held before the end of the Choir’s calendar in order to elect officials and Committee members.
• The entire meeting will be presided over by the Chairperson.
• Seconded nominations for offices on the Committee may be made through the Secretary or other members of the Committee beforehand.
• Nominations and motions may be made and seconded verbally or in writing during the AGM.

9.1 Electing Officials

• The nominee(s) will be asked to absent themselves from the proceedings.
• A secret ballot will be held, even if only one nomination is received.
• Each member of the Choir will be permitted to attend the meeting, but only those who have paid the membership fee for the current year will have the right to vote.

9.2 Financial Report

• The Financial Report will be presented to the AGM.
• The accounts are to be audited by the beginning of the following September.


10. Calling an Extraordinary General Meeting

10.1 An Extraordinary General Meeting may be called

• By the Committee as required.
• By no fewer than 20% of the choir’s members.

10.2 Members must be given at least four days’ notice of the intention to hold an Extraordinary General meeting.


11. No Choir member is permitted to participate in any official discussion or meeting, or to make use of the Choir’s property, unless membership fees for the current year and any other monies owing are paid.


12. Members who wish to dissolve their membership, or to absent themselves for an extended period, should inform the Secretary of their decision, verbally or in writing.

13. Members who wish to dissolve their membership, or to absent themselves for an extended period, are expected to return any item that is the property of the choir.


14. Concerts

• Members are expected to display their commitment and support to concerts.
• Invitations to participate in concerts should be made through the Secretary.
• Acceptance of an invitation is decided by means of a majority vote.
• Organising the programme is the responsibility of the Conductor.
• Members are expected to dress in the choir’s official costume during concerts.


15. Other Matters

The Choir’s financial year runs from September 1st to August 31st.


16. Postponement or Dissolution

• The Choir will continue to meet from one year to the next unless an Extraordinary General Meeting is called, within the regulations laid out in this constitution, and a motion to postpone meetings or to dissolve the Choir is passed by 75% of the Choir’s membership. Written votes may be accepted by proxy.
• Any assets remaining after the dissolution of the Choir should not be divided amongst members, but should be donated to (an)other institution(s) with similar objectives or to (a) charity/ies elected by the Choir’s members. Any institution(s) or charity/ies receiving donations in this manner must produce a receipt.


17. Changes to the Constitution

• Members who wish to suggest changes to these regulations must submit these changes in writing to the Secretary at least one month before the AGM or Extraordinary General Meeting.
• These regulations may not be changed without a majority vote where at least 75% of the Choir’s membership is present.
